Activity Dashboard

Activity Dashboard Overview
The Activity Dashboard in Beefree offers a comprehensive view of your recent activity and comments. Designed to enhance transparency and boost your workflow processes, this dashboard is your first method to access the activity collection view, which is equipped with intuitive shortcuts to support you in easily continuing from where you left off.
With this dashboard, you and your team members can easily collaborate and prioritize tasks. Accessible from any workspace within Beefree and tailored to each role within the organization, which ensures that all team members have the resources they need to effectively manage their part of the organizational workflow.
Prerequisites
To access the Activity Dashboard, ensure you have the following:
- A Beefree account
- All role types can see the Activity Dashboard
Note: Viewers can only see comments.
Plan Restrictions
Depending on the plan you have, your Activity Dashboard may have access to different visibility levels. Reference the following plan restrictions:
- Starter: Through your Activity Dashboard, you will see shortcuts to your recently edited designs.
- Professional, Business, and Enterprise: You will see the information related to your latest designs and any comments from your teammates.
How to Access the Activity Dashboard
Take the following steps to access the Activity Dashboard:
- Log in to Beefree
- Navigate to the Activity menu item near Projects
- Click Activity
- Reference your recent activity in your Activity Dashboard
Where you left off
In this section, you’ll see the last three designs you've edited, so you can easily keep track of your most recent work. It’s a simple way to stay updated on what you were last working on, ensuring you never lose your place.
Your dashboard is equipped with several shortcuts:
- Edit email/page: Jump right back into editing with a single click.
- View details: Take a closer look at the specific attributes and settings of your design.
- Send test (for emails only): Test how your email appears before the final send-off.
- Export: Save your designs externally for broader use.
- Delete: Remove designs that are no longer needed.
- Link to the workspace: Access the specific workspace where the design is housed. If you’re on a plan with only one workspace, this link won’t appear.
- Link to the folder: Directly go to the folder containing the design for better organization. Note that if you're on the Starter plan, which doesn’t include folders, or if the design isn’t stored in a folder, this link will not be available.
These shortcuts are designed to help you easily continue your workflow from where you left off.
Comments
In this section, you'll find all the comments where you've been mentioned and responses to threads you've initiated. It's organized into four columns to help you navigate and respond effectively:
- Name and Design: Displays the name of the person who commented or mentioned you, along with the name of the design involved.
- Preview of the Comment: Offers a snippet of the comment to give you a quick sense of the conversation.
- Location of the Design: Shows where the design is located within your workspace, including the specific folder, if applicable.
- Message Icon: Click on this icon to open the comment directly in the builder. This allows you to view the full context and reply if needed.
This layout is designed to ensure you never miss important feedback and can easily engage with your team’s discussions.
Important Considerations
When using the Activity Dashboard feature in Beefree, consider the following:
- Workspace Specificity: You will only see activities and comments from the workspaces you are a part of. If you are removed from a workspace, you will no longer see its activities, but activities from remaining workspaces will still be visible.
- Comment Dynamics: Edited comments are not shown in the dashboard. Deleted comments will still appear in the dashboard, but they won't be visible when you click to view them in the design builder. Comments moved with their designs to different folders within the same workspace will still be shown.
- Design Movement and Visibility: Moving a design to a different workspace removes it from the activity listings of the original workspace. It will only appear in the new workspace's dashboard after it has been edited there. In multi-workspace accounts, it will show in the "All workspaces" dashboard once edited in any workspace.
- Trigger Actions for Design Listing: Actions that update the dashboard include sending a test email, editing details, exporting, and changing the design name. These actions cause the design to appear in the dedicated section of the dashboard.
- Consistency Across Workspaces: In scenarios involving multiple workspaces, "All workspaces" collects data differently, focusing on the latest five edited designs across all workspaces, even if the design no longer resides in the originally edited workspace.
